疑問詞 + 〜ば いいですか (gimonshi + ~ba ii desu ka) — What / where / how should I ~?
The pattern for asking for instructions at work — "what should I do?"

Put a question word (何・どこ・いつ・だれ・どう) together with a conditional form and いいですか to ask for advice or instructions. The one you hear most is 「どう すれば いいですか」— "what should I do?". You already met 「どう したら いいですか」in N4 Lesson 1; the meaning is the same and both are fine. The small difference: 〜たら asks about one specific situation ("in this case, what do I do?"), while 〜ば asks which method works, so it sounds slightly more at home in writing and in work talk. The reply is usually 〜ば いいですよ or 〜て ください.

「どう すれば いいですか」and 「どう したら いいですか」mean the same thing — both are fine. すれば asks which method, したら asks what to do in that situation. 「どう しても いいですか」= is any way okay?, 「どこで すれば いいですか」= where should I do it?, 「どう しますか」= what will you do? — all three mean something different.
Using 「書きます」, which correctly says "how should I write it?"
